Booking Terms (Main Points )
Definitions
The Company shall mean Western Motor Home Hire, The Hirer shall mean
the person named on the Motor Rental Agreement
Drivers
No one other than the drivers named in the Motor Rental Agreement may drive
the hired vehicle.
Drivers must be between 25 and 70 years of age, and have held a full driving
licence valid for the relevant vehicle for at least two years prior to the commencement
of hire. Your licence will need to be valid for class C1 vehicles ( 3500kg -7000kg), this can be verified on the paper portion of you current driving licence.
To meet our insurer's acceptance conditions your driving licence must also be free of endorsements except for a maximum of 6 points for
minor speeding or parking offences.
Hirers from outside the UK must produce a valid unendorsed domestic driving
licence and are incouraged to obtain an international driving permit.
One additional
named driver may drive the motorhome subject to acceptance by our insurers, as above, there is an additional charge of £25 per week for this to cover administration..
Insurance
Fully comprehensive insurance for use in the UK is included within the hire
charge. Insurance cover is for the vehicle and
equipment only, your personal possessions are not covered and hirers are advised
to take out separate holiday insurance.
A £750 deposit is payable
at commencement of hire. If the vehicle is returned in good condition, whole
and undamaged, with clean interior and no other excesses to be charged, the
deposit will be refunded in full. Should the condition of the vehicle be
otherwise; then repairs, replacements or cleaning costs will be charged against
the deposit.
If the hirer is found to have damaged
the vehicle by negligence (i.e. no other person or vehicle is involved) the
hirer will be responsible for full rectification costs and this will be charged against
the deposit. Front and rear bumpers, overcab mouldings, roof lights, windows,
wing mirrors and external doors are typical components prone to damage by negligence.
Security
The Hirer is totally responsible for
the security of the vehicle. The Hirer must ensure that if the vehicle is left
unattended at any time that it is securely locked and parked in a safe, well
lit location. The Hirer must take every precaution to prevent loss from or theft
of the vehicle. The vehicle should not be put in a vulnerable location or unlocked while unattended at any time as liability
is with the Hirer if you do not adhere to these requirements.
Reservations
Booking enquiries should be made by telephone to 02920 566544. Our staff will confirm
that we have a vehicle available for the period you require. Subject to confirmation
that you can meet our insurance requirements (above) you will then be sent a copy of our full, terms and conditions, which will form the basis of our agreement
with you.
At this point you will be required to confirm your booking by paying a £150
booking deposit for each week or part week of hire. This can be made by cheque or by
Credit or Debit card over the telephone if you wish. You will then receive a
written confirmation of booking, a receipt
for the deposit paid and invoice for the full agreed amount of the hire charge.
Payment of the outstanding balance of the hire charge is required six weeks prior to the date of commencement
of hire.
Cancellation by the Hirer.
Should the Hirer cancel their booking, for whatever reason, more than
six weeks prior to the booking then the hirer will forfeit the deposit and no
further charges will be incurred.
Should the Hirer cancel their booking, for whatever reason, between four and
six weeks prior to the booking a 50% refund of the agreed total hire charge will be made.
Should the Hirer cancel their booking, for whatever reason, less than four weeks
prior to the booking then no refund will be available.
The Hirer is strongly advised to obtain their own
holiday insurance to safeguard against onforseen circumstances..
Availability and Cancellation
by the Company
Every effort is made to ensure that the vehicle reserved is available,
if due to circumstances beyond the Company’s control, such as accidents, the reserved vehicle
is not serviceable the Companyy reserves the right to offer a suitable alternative
which will be of similar size or larger and of similar standard. There will be no increase in the tariff charged under these circumstances. If an alternative
is not available the liability of the Company will be limited to the refund
of any monies paid by the Hirer.
The Company reserves
the right to cancel the booking before commencement of hire if the named drivers’ licences are invalid or do not comply with the information stated on the booking
form. In this case the Hirer will forfeit the booking deposit and hire charges
already paid.
The Company reserves the right to refuse
a hire to any individual who they considered unsuitable to undertake the hire
without explanation. In such circumstances the intended Hirer shall be entitled
to request a refund of monies paid which will not be unreasonably withheld.
The Company reserves the right to refuse
a hire to any individual who has provided incorrect, misleading or fraudulent
information or has attempted to imply the same. In such circumstances no refund
of monies paid will be made.
Collection and Returns
Hire periods normally start at 3.00pm on day of departure, and end at 10.00am on day of return.
Please allow approx 1 hour for us to familiarise you with the vehicle.
Late return will result in the Hirer
being surcharged at the rate of £50 per hour.
No refunds wll be given
for early return of the vehicle.
Condition of Vehicle
The Hirer acknowledges delivery of the vehicle and the contents free from any
defect or damage and complete other than as specified by the Company. An inventory will be provide by the company. The
Hirer is advised to check the vehicle thoroughly before leaving the Company’s
premises. On return the Company’s representative
will check the vehicle for damage, cleanliness, etc., including the condition
of the tyres and windscreen which are not included in the Company’s insurance
cover, any such damage is the hirer's responsibility.
Failure
to return the vehicle in a reasonably clean condition will incur a charge. A
charge will be made for unemptied chemical toilet tanks.
Liabilities
The Company accepts no liability for replacement vehicle costs, travel or accommodation
costs or any other consequential loss claims arising from motorhome breakdown,
accident or any other such related causes.
The hirer shall be liable for all costs
and expenses incurred for speeding, parking fines, congestion charges and for
any other offences committed against the Road Traffic Act or any such traffic
regulations.
The hirer is required to keep the motorhome under
their control throughout the hire period. It must be locked at all times when
unattended.
Breakdown
Every effort is made to ensure that the hire vehicle is satisfactory for the
purpose of hire and in a safe and roadworthy condition when it leaves Company
premises. In the event of a breakdown, recovery and repair services are provided
for each motorhome by the RAC.
The Hirer is responsible for notifying the Company
of any fault as soon as it becomes apparent in order that the Company may make
reasonable efforts to perform its obligations under the hire contract. In these
circumstances instructions for the necessary repair or the purchase of replacement
faulty parts at a cost not exceeding £40 may be given by the Hirer who
will be reimbursed after presentation of receipted invoices. Approval from the
Company must be obtained in respect of repairs or replacements in excess of
£40.
The Company can accept no liability for accommodation
charges, replacement vehicle costs or other claims arising from breakdown, accident
or other causes.
Accidents.
All accidents should be reported immediately
by telephone to 02920 566544 and an Accident Report form completed at the time the vehicle is returned.
Fuel, Gas and Oil
The vehicle is supplied on full tank out, full tank in, basis. The cost of topping
up the vehicle tank will be deducted from your deposit refund. The Hirer will
be liable for all repairs required if the incorrect fuel type is used.
Daily engine and vehicle checks, as recommended in the handbook supplied,
are the sole responsibity of the Hirer.
It is the sole responsibility of the
hirer to make sure that they understand all information given within the operator’s hand
books.
Two gas cylinders are provided at the
time of hire at least one is completely full. The cost of any refills thereafter
shall be the responsibility of the Hirer who shall ensure that two bottles of
the same size as taken out are returned with the vehicle and that one of them is full..
Animals
No animals, other than guide dogs, are
allowed in the vehicle. Any damage incurred will be charged to the Hirer in
full.
Smoking.
Smoking is not allowed in any of our vehicles. We ask you to respect this rule for the benefit of all our customers. A charge for valeting the interior to remove odour will be deducted from your deposit if you do not.
